The Member Register Every Club Needs (And How to Keep It Honest)

Ask most club secretaries where their member list lives and you'll get a sheepish answer. A spreadsheet on one laptop. A second copy someone emailed last season. A WhatsApp group that is sort of the real list, if you cross-reference it with who actually paid. It works right up until the moment it doesn't: a player has a medical incident and nobody can find an emergency contact, or your insurer asks for a current register and you realise a third of the phone numbers are dead.

A member register is not bureaucracy for its own sake. It is the one place that answers a simple question: who belongs to this club, and how do we reach them? Getting it right is mostly about removing the friction that makes it go stale. Here is how to build a register your club actually trusts.

What Belongs in a Register

Start by being clear about what you're keeping, because a register is more than a list of names. At minimum you want each person's full name, a current phone number and email, an emergency contact, and which membership they hold. For clubs with juniors, you also need a parent or guardian linked to each child.

That last point trips people up. Your playing list and your register are not the same thing. A twelve-year-old who plays every week is on your playing list, but the person you need to phone in an emergency is their guardian. A good register captures the relationship, not just the player.

Keep the field list short and meaningful. Every extra field you demand is another reason someone abandons the form half-finished. Name, contact, emergency contact, membership, and guardian links cover the vast majority of what a club genuinely needs.

The Real Problem Is Drift, Not Setup

Most clubs can build a register once. The hard part is that it starts decaying immediately. People change numbers, move house, switch from junior to adult membership, or drift away entirely. Within a season, a register built from a one-off survey is noticeably wrong.

Tie it to something that already happens. The first club night of a season, the renewal reminder, the AGM notice. Attaching the refresh to an existing moment means you never have to remember it as a separate task, and your register quietly stays audit-ready year round.

Do this consistently and the awkward questions disappear. When your insurer, your council, or a grant funder asks for a current member list, you export it in a minute and move on.
